The Purchasing Support Officer is responsible for managing procurement documentation, maintaining purchasing data accuracy, and providing administrative and operational support to ensure smooth and efficient procurement activities across the organization.
1. Documentation & Procurement Administration
Receive, review, and maintain procurement-related documents and records.
Create and manage Purchase Requisitions (PRs) in the system based on approved requests.
Track approval status and ensure purchasing records are updated accurately and timely.
Maintain contracts, quotations, supplier databases, and other procurement-related documentation.
2. Data Management & Reporting
Update and maintain supplier information, product details, and purchasing prices within the system.
Verify the completeness and accuracy of procurement data.
Consolidate purchasing data and prepare periodic procurement reports (weekly, monthly, and quarterly).
3. Operational Support
Support supplier payment processes in accordance with established procedures and policies.
Coordinate with the Accounting team to reconcile procurement documents and supplier payables.
Assist in preparing documentation for audits and internal compliance reviews.
Perform other administrative and operational tasks as assigned by the Procurement function.
Minimum 1 year of experience in an Administrative, Purchasing Admin, Sales Admin, or other operational support role.
Strong proficiency in Microsoft Excel; experience with Pivot Tables and VLOOKUP/XLOOKUP is highly preferred.
Experience working with SAP is an advantage.
Strong organizational skills with the ability to manage documentation and track multiple tasks effectively.
Detail-oriented, responsible, and capable of working collaboratively with cross-functional teams.
Proactive mindset, ability to work under pressure, and commitment to data accuracy and quality.
