OnPoint launches Full Distribution in 2027 as importer and distributor. We start with beauty on e-commerce and will expand into other consumer categories and omnichannel.
This role builds OnPoint’s QA and regulatory capability from scratch and owns product compliance and product quality end to end: from brand onboarding and market authorization, through inbound receipt, storage and release, to post-market surveillance, across all categories.
Key Responsibilities
1-QA/RA framework. Build a scalable QA/RA framework covering policies, SOPs, quality gates and RACI with Commercial, Supply Chain, Ops and Finance. Define compliance requirements for each category as the portfolio expands.
2- Market authorization and labeling. Own product market authorization as importer of record for each category:
• Cosmetic notification with DAV and PIF for beauty.
• Self-declaration or registration for food and supplements.
• Conformity certification for regulated non-food goods.
• Ensure labels, claims and brand documents are compliant before launch, and approve Vietnamese sub-labels in line with Decree 43/2017 and Decree 111/2021.
• Manage pre-clearance specialized inspections with customs brokers to avoid port delays.
3- Supplier and brand quality. Establish quality agreements with brand principals and manufacturers. Review CoA and batch documents for every shipment, and audit suppliers where required.
4- Inbound inspection, release and storage. Set inbound inspection and batch release criteria, with authority to approve or hold products for sale:
• Set minimum remaining shelf-life acceptance criteria and FEFO rules.
• Set storage, temperature and traceability standards with the warehouse and 3PL.
• Control relabeling and repacking activities at the warehouse.
• Define grading criteria for e-commerce returns (resell, repack, destroy).
• Manage near-expiry and non-conforming stock, including destruction with proper documentation.
5- Joint inspection and damage assessment. Be available on short notice to conduct joint inspections at the warehouse, port or CFS with suppliers, carriers/forwarders, insurers and appointed surveyors when shortage, damage, contamination or temperature excursion is suspected:
• Document findings (photos, sampling, inspection reports) and quarantine affected goods.
• Determine product disposition: release, rework/relabel, return to supplier, or destroy.
• Provide the quality evidence needed for cargo and insurance claims within carrier and policy notice periods. Supply Chain and Finance own claim filing and negotiation.
6- Complaints, CAPA and recalls. Lead complaints, investigations, CAPA and recalls. Act as the point of contact with authorities and platforms (Shopee, TikTok Shop, Lazada) on compliance issues, and maintain brand authorization and authenticity documentation for platform compliance.
7- Regulatory feasibility and intelligence. Assess regulatory feasibility, lead time and cost for new brands and categories before signing. Monitor regulatory changes and train internal teams on compliant claims and listings.
8- Partners and team. Manage external partners (consultants, testing labs, customs brokers, surveyors), and build the team as categories scale.
1. Education: Degree in Pharmacy, Chemistry, Biology, Food Science or a related field.
2. Experience:
• Degree in Pharmacy, Chemistry, Biology, Food Science or a related field.
• 7+ years in QA/RA in Vietnam, with hands-on experience across multiple consumer categories. Cosmetics is required; food, supplements, mom & baby or household products are a strong plus.
• Hands-on with product notification and registration, product testing, and post-market issues. Experience setting up a function from scratch is a strong plus.
• Practical experience with inbound inspection, cargo damage assessment, and supporting insurance or carrier claims. Working knowledge of Incoterms.
• Knowledge of ISO 22716 (cosmetic GMP), ISO 9001 or HACCP is a plus.
• Independent, firm under high pressure, fluent in English.
Working Arrangement
• Based in Ho Chi Minh City. Scope: Vietnam.
• Regular on-site presence at warehouses, ports and CFS, including at short notice for joint inspections.
• Year 1 is hands-on. As volume grows, the role hires a QA Executive based at the warehouse and delegates routine inspections, while keeping release authority and oversight of claims-related inspections.
3. Competencies
• Strong analytical and problem-solving skills, with the ability to break down complex issues and drive structured decisions.
• Builds trust and strong working relationships with internal teams, brand partners, and external stakeholders.
• Communicates clearly and confidently across all levels of the organization.
• Takes ownership of outcomes and manages competing priorities without losing momentum.
• Works with a sense of urgency and stays effective in fast-moving, ambiguous environments.
