Position Overview:

The Assistant to Technology Division serves as a key coordination and execution partner for the Technology Division, supporting technology leadership in managing strategic technology initiatives, digital transformation programs, and cross-functional projects across Galaxy Holdings and its business units.

The role acts as a central coordination point between the Technology Division, Transformation Management Office (TMO), business units, and other key stakeholders, ensuring that technology and digital transformation initiatives are effectively planned, tracked, communicated, and delivered.

The position supports governance of the technology project portfolio, monitors milestones, risks, dependencies, and action items, and consolidates information from multiple stakeholders to provide management with clear and timely visibility into execution progress.

This role requires a highly organized, analytical, and proactive professional who is comfortable working across Technology and Business functions, coordinating multiple initiatives simultaneously, and translating discussions and management direction into structured actions and measurable deliverables.

Key Responsibilities:

• Serve as a key coordinator for technology and digital transformation projects, connecting the Technology Division, TMO, project teams, and relevant stakeholders across the Group.
• Proactively connect with project stakeholders to collect, follow up, and consolidate project information, including project objectives, scope, progress, key milestones, issues, and required actions.
• Engage with relevant teams to understand project requirements, implementation plans, dependencies, and current status, ensuring information is accurately captured and communicated.
• Serve as the primary liaison among project stakeholders, facilitating communication, information exchange, and coordination throughout the project lifecycle.
• Communicate and cascade project information, requirements, and implementation plans to member companies across the Group, coordinating with respective teams to support project rollout and execution.
• Track agreed actions, project progress, deliverables, and timelines, and follow up with responsible stakeholders to ensure timely implementation.
• Organize and coordinate project meetings, including meeting schedules, agendas, materials, stakeholder participation, meeting minutes, key decisions, and action items.
• Consolidate project updates and provide clear and timely status reports to Technology leadership and TMO, highlighting key progress, pending actions, risks, or matters requiring management attention.
• Support effective collaboration between Technology, TMO, member companies, business functions, and external partners/vendors to facilitate smooth project implementation.

Job Requirements:

Education & Experience

• Bachelor’s degree in Information Technology, Computer Science, Information Systems, Business Administration, Management, Economics, Engineering, or a related field.
• Minimum 5 years of relevant experience in Technology Project Management, PMO/TMO, Digital Transformation, Business Analysis, Technology Consulting, IT Operations, Project Coordination, or management support within a technology environment.
• Previous experience working with technology teams and cross-functional business stakeholders is highly preferred.
• Experience coordinating multiple projects or enterprise-wide transformation initiatives is an advantage.

Skills & Competencies

• Strong project coordination, organizational, analytical, and problem-solving skills.
• Good understanding of project management practices, including project planning, milestone tracking, risk management, dependency management, and project reporting.
• Ability to understand business requirements and work effectively with technology teams to translate business needs into structured project activities and deliverables.
• Good understanding of modern technology concepts such as Cloud, AI, APIs, Enterprise Platforms, Data, Cybersecurity, and Digital Products is an advantage; deep engineering expertise is not required.
• Strong stakeholder management skills and the ability to work effectively with technical and non-technical stakeholders.
• Excellent communication, meeting facilitation, presentation, and management reporting capabilities.
• Strong proficiency in PowerPoint, Excel, project management, and collaboration tools.
• Familiarity with Jira, Confluence, Microsoft Project, Monday.com, Asana, Power BI, or equivalent platforms is an advantage.
• Ability to leverage AI tools and platforms for research, analysis, meeting preparation, documentation, project reporting, and presentation development.
• Ability to manage multiple projects and priorities simultaneously in a fast-paced and dynamic environment.
• Proactive, detail-oriented, structured, and able to independently follow through on assigned actions and commitments.
• High level of professionalism, confidentiality, ownership, and accountability.
• Good command of written and spoken English.
